For the organization, preservation, and institutional use of current academic materials.
The institution has maintained a highly reliable academic publication process for the last seven years, supporting instructional cycles with an operational history of virtually error-free webpage preparation, link organization, academic sequencing, professor assignments, dates, sessions, and final publication.
This proposal does not seek to replace a process that has proven successful. Instead, it introduces the next stage in its evolution through the implementation of the Academic Knowledge Processing Engine (AKPE).
AKPE is designed to preserve, organize, standardize, process, validate, and publish institutional academic knowledge while protecting the professors’ original teaching materials.
Rather than functioning as a simple document repository, AKPE establishes a complete academic processing pipeline capable of transforming heterogeneous instructional resources into standardized institutional publication packages.
The proposed model distinguishes between two complementary categories of academic resources:
Instructional resources intended primarily for reading and consultation—including presentations, documents, manuals, handouts, lecture notes, guidance, and reference materials—will be converted into optimized PDF documents whenever appropriate.
This publication format provides multiple institutional benefits:
Certain academic programs require students to open, edit, import, execute, or manipulate the original files used by professional software applications. These resources must remain in their native formats because converting them to PDF would eliminate their practical function.
Examples include:
These materials will not be converted to PDF. They will be preserved in their original formats, organized in a defined folder structure, validated, and distributed through mandatory ZIP packages grouped by Week, Day, Project, Activity, or another approved academic naming convention.
The ZIP package will serve primarily as a standardized delivery container. Its institutional value is not limited to compression; it also preserves file names, folder structure, relationships among resources, and the complete working environment required by the student.

Institutional Academic Platform
The publication rule will be simple:
Resource intended for reading or consultation → Optimized PDF Resource intended for editing, importing, execution, or practical manipulation → Original format inside a structured ZIP package
The professors will continue working with the authoring tools and professional applications they already use. The original source files will remain preserved as the institutional academic master.
Students will receive optimized, device-independent PDF materials for reading and complete ZIP packages whenever the subject requires editable or executable resources.
Once collected, organized, processed, validated, and stored, the materials can be reused continuously to support academic operations, facilitate webpage preparation, improve student access, strengthen institutional search, and respond efficiently to future faculty assignments.
Professor → Subject → Week → Day → Study Materials in Optimized PDF → Practice Materials in Structured ZIP → Files in Teaching Order
The traditional system will remain active throughout the transition. No webpage or academic package will be modified until the corresponding materials are complete, organized, validated, and ready for institutional use.
AKPE preserves editable academic sources, publishes optimized knowledge for universal access, and delivers original practice files in structured ZIP packages when professional applications require them.

The current academic platform originated during the COVID-19 period as an institutional response to maintain educational continuity when face-to-face instruction faced significant limitations.
During that first stage, the school began storing and organizing documents, presentations, guidance, homework, and other support resources so professors and students could continue the academic process through remote tools.
This initial model made it possible to provide live instruction through Zoom, distribute class documents and materials, maintain remote access to academic resources, facilitate communication between professors and students, and sustain educational operations outside the traditional classroom.
The experience gained during that period was not limited to a temporary solution. It became the practical and operational foundation that later allowed the institution to advance toward a hybrid class model.
The platform and the processes developed during the emergency served as the foundation for combining face-to-face instruction, online instruction, live Zoom sessions, permanent access to materials, and academic support outside class hours.
From that experience, the platform stopped functioning only as an emergency tool and became a permanent support component for face-to-face, online, and hybrid classes.
Over time, professors continued developing, adjusting, and updating their own teaching materials. However, many of those improvements remain on personal computers or devices and have not always been incorporated systematically into the institutional platform.
Therefore, the current need is not to replace the model built since the COVID-19 period, but to strengthen it through an organized academic library containing the current materials used by the faculty.
During the last seven years, the existing preparation and publication process has demonstrated an exceptional level of reliability.
Cycles of up to 142 webpages have been prepared without identified errors in the operational elements under the administrator’s control: correct page, professor, subject, links, sequence, dates, sessions, and final publication.
The proposal recognizes this performance as an institutional strength. It does not seek to replace the logic or control that produced these results.
It seeks to document that knowledge, protect continuity, update academic sources, reduce concentrated manual workload, prepare materials in advance, and support future automation without eliminating human review.
“The proposal does not seek to repair a process that has failed. It seeks to protect and make sustainable a process that has operated accurately for seven years.”
The current process has maintained precise results, but it depends on a considerable amount of manual work, operational knowledge accumulated over many years, availability concentrated in specific periods, and materials that do not always represent the most recent version used by the professor.
The institutional need is not to correct publication. The need is to collect current content, organize it permanently, reduce dependence on scattered files, document the actual teaching sequence, preserve materials institutionally, and ensure that the platform reflects what is truly taught.
The proposed library will allow materials to be organized and available before any future assignment. When an official professor and subject list is later received, the institution will be able to use previously prepared packages without collecting the full documentation again.
Create a permanent institutional academic library containing each professor’s current materials, organized by subject, week, day, and teaching sequence, to support academic operations, preserve institutional knowledge, and facilitate preparation of the corresponding webpages.
The program seeks to collect all current materials from each professor; organize every subject taught by each professor; establish a common folder structure; preserve the real teaching order; identify new, updated, and current materials; register external links and institutional videos; keep Test links out of webpages; protect institutional equipment during collection; store resources in AWS S3 when appropriate; reuse existing links; prepare reusable academic packages; reduce repetitive manual work; document the process; strengthen institutional continuity; and preserve the 0% error history.
El programa busca:
This proposal includes faculty orientation, comprehensive collection by professor, organization by subject, classification by Week and Day, file numbering, registration of external links, identification of MP4 videos, confirmation of current materials, reception control, basic security review, storage, inventory, package preparation, library maintenance, and subsequent use of the materials in webpages.
This proposal does not include at this stage curriculum redesign, syllabus modification, lesson plan changes, public comparison among professors, creation of new institutional activities, replacement of assessments, publication of Tests, or construction of Master Subjects. Those components will belong to a separate academic proposal.
Esta propuesta incluye:
La propuesta no incluye en esta etapa:
Esos componentes pertenecerán a una propuesta académica independiente.
“The academic library will be built by professor and subject. Subsequent operational needs will only determine which packages must be used at a given time.”
Materials must not be delivered as loose files or general folders without a defined sequence.

La relación principal será:
Professor → Subject → Week → Day → Files in Teaching Order
Every file must begin with a number representing the exact order in which the professor uses it during class.
1.- File Name 2.- File Name 3.- File Name 4.- File Name
Example:
1.- Introduction to Electrocardiography.pptx
2.- Electrical Conduction System.pdf
3.- Lead Placement Video.txt
4.- Practice Activity.docx
5.- Review Questions.pdf
The numbering represents the real teaching sequence. Resources will be published in the same order.
Each file must be placed only in the day when it is first introduced. When the professor needs students to reuse it on a later day, the professor may communicate that directly during class.
Formato:
1.- Nombre del archivo 2.- Nombre del archivo 3.- Nombre del archivo 4.- Nombre del archivo
Ejemplo:
1.- Introduction to Electrocardiography.pptx 2.- Electrical Conduction System.pdf 3.- Lead Placement Video.txt 4.- Practice Activity.docx 5.- Review Questions.pdf
Each subject may contain additional folders for materials that do not belong exclusively to a specific day:
Subject_Name ├── Week_1 ├── Week_2 ├── Week_3 ├── Homework ├── Quizzes ├── Labs ├── Handouts └── Additional_Resources
Example: Homework ├── 1.- Week 1 Homework ├── 2.- Week 2 Homework └── 3.- Week 3 Homework
Tests will not be part of this publication structure.
Subject_Name ├── Week_1 ├── Week_2 ├── Week_3 ├── Homework ├── Quizzes ├── Labs ├── Handouts └── Additional_Resources
Ejemplo:
Homework ├── 1.- Week 1 Homework ├── 2.- Week 2 Homework └── 3.- Week 3 Homework
Links corresponding to Tests, Midterms, or Final Tests will not be published as permanent content on webpages.
The professor will be responsible for sharing the link on the scheduled day; sending it through Zoom chat or another authorized institutional channel; verifying that it corresponds to the correct assessment; providing the necessary instructions; and controlling the moment of access.
The platform may contain study materials, homework, authorized quizzes, Labs, and other resources, but it will not display Test links in advance.
Professors who use YouTube videos or other external resources must place them within the folder corresponding to the Week and Day when they are used.
Each link will be represented by a text file numbered according to its position in class.
Example:
3.- Electrical Conduction System Video.txt
Display Title: Electrical Conduction System of the Heart
URL: https://www.youtube.com/...
Purpose: Video used after the introductory PowerPoint.
Language: English
Estimated Duration: 8 minutes
The institution will publish the original link. It will not download or re-upload videos owned by external platforms.
Ejemplo:
3.- Electrical Conduction System Video.txt
Contenido recomendado:
Display Title:
Electrical Conduction System of the Heart
URL:
https://www.youtube.com/...
Purpose:
Video used after the introductory PowerPoint.
Language:
English
Estimated Duration:
8 minutes
La institución publicará el enlace original.
No descargará ni volverá a cargar videos pertenecientes a plataformas externas.
MP4 videos already stored in AWS S3 will not be uploaded again.
Their current URL may be reused when the professor confirms that the video remains current, it corresponds to the correct subject, the resource plays correctly, and its position in the teaching sequence is identified.
Example:
2.- Patient Preparation Video.txt
Resource Type: AWS S3 MP4 Video Display Title: Patient Preparation for ECG Existing S3 URL: https://... Purpose: Demonstration before the practice activity. Language: English Order: 2
New local MP4 → review → upload to AWS S3 → new URL Existing MP4 in AWS S3 → confirm validity → register location → reuse without duplication
Ejemplo:
2.- Patient Preparation Video.txt
Contenido:
Resource Type:
AWS S3 MP4 Video
Display Title:
Patient Preparation for ECG
Existing S3 URL:
https://...
Purpose:
Demonstration before the practice activity.
Language:
English
Order:
2
La lógica será:
MP4 local nuevo → revisión → subida a AWS S3 → nueva URL
Not all materials must be replaced.
When a professor considers that the documents currently used remain valid, the professor may confirm them formally.
Status: Current and Confirmed Confirmed by: Professor Name Confirmation Date: MM/DD/YYYY Action Required: None
In those cases, the file will not need to be uploaded again, its link will not be changed, its order will not be modified, and it will remain within the current system.
The update effort will focus only on materials that have changed.
“Updating does not mean replacing everything. It means confirming what remains valid and processing only what has been modified.”
Status: Current and Confirmed Confirmed by: Professor Name Confirmation Date: MM/DD/YYYY Action Required: None
Each professor will be responsible for delivering the current materials for all subjects taught; separating each subject correctly; organizing files by Week and Day; numbering them in order of use; identifying homework, quizzes, Labs, handouts, and additional resources; registering external links; identifying videos already stored in AWS S3; confirming current materials that remain valid; separating English and Spanish versions when available; avoiding ambiguous names; confirming that files open; and identifying which documents replace previous versions.
The following must not be included: student records, sensitive personal data, identifiable clinical information, passwords, private administrative documents, personal files, or materials unrelated to the subject.
Cada profesor será responsable de:

The library will be built progressively by professor and subject.
Pending Collection — Materials have not yet been received.
Collected — Materials received.
Organized — Structure and sequence confirmed.
Security Reviewed — Files reviewed.
Current and Confirmed — Existing material confirmed as valid.
Uploaded — New material stored.
Prepared — Professor–subject package complete.
Available for Institutional Use — Ready for use.
Updated — A later modification was incorporated.
The library will be permanent and reusable. It will not be rebuilt for each start date.
| Collected | Materiales recibidos |
| Organized | Estructura y secuencia confirmadas |
| Security Reviewed | Archivos revisados |
| Current and Confirmed | Material existente confirmado como vigente |
| Uploaded | Material nuevo almacenado |
| Prepared | Paquete profesor–subject completo |
| Available for Institutional Use | Listo para utilizarse |
| Updated | Se incorporó una modificación posterior |
La biblioteca será permanente y reutilizable.
No se reconstruirá en cada start date.
When the institution receives a new faculty and subject assignment, it will use the previously constructed library to select the corresponding combinations.
Official Faculty Assignment + Professor–Subject Library = Webpages and Materials to Activate
Professor + Subject + Session + Start Date + End Date = Webpage Package
The start date does not determine collection. It only determines when a combination already organized in the library must be activated.
Upon receiving the official assignment, the institution will identify professors and subjects, confirm sessions, select packages, detect unavailable combinations, update dates, review, and publish.
Tests will remain outside the webpages.
Official Faculty Assignment
+
Professor–Subject Library = Webpages and Materials to Activate
La combinación operativa será:
Professor + Subject + Session + Start Date + End Date = Webpage Package
The current system will remain active while the library is collected and organized.
If a professor–subject combination has not yet been prepared, the traditional method and currently published materials will remain in use.
No page will be modified until the corresponding new package is complete.
This guarantees academic continuity, no interruptions, controlled transition, and protection of the 0% error history.
After the initial collection, the professor will not have to submit every material again.
The professor will only need to report new files, modified documents, replaced links, added videos, removed materials, or changes in sequence.
Current Library + Confirmed Changes = Updated Version
Biblioteca vigente
+
Cambios confirmados = Versión actualizada
Automation will be developed without eliminating human review.
Level 1 — Inventory and Organization: generation of file inventory, classification by professor, subjects, Weeks, Days, links, videos, current materials, and exceptions.
Level 2 — Package Preparation: automatic generation of blocks containing professor, subject, materials, sequence, homework, quizzes, videos, and links.
Level 3 — Draft Preparation: creation or update of WordPress drafts for manual review.
Final publication will remain under authorized human control.
The proposal will allow the institution to maintain the 0% error history; preserve the current system; collect the living knowledge of the faculty; update only what is necessary; retain current materials without duplication; respect the teaching sequence; reduce repetitive work; facilitate preparation of future webpages; reduce concentrated operational pressure; preserve academic resources institutionally; reduce dependence on personal computers; facilitate professor substitutions; protect technology infrastructure; create traceability; document procedures; and strengthen institutional continuity.
La propuesta permitirá:
The program may be measured through professors oriented, professors participating, subjects collected, packages organized, Current and Confirmed materials, new files processed, external links registered, S3 videos reused, threats detected, materials uploaded, packages available for institutional use, webpages updated, reduction in manual time, and maintenance of the 0% error history.
El programa podrá medirse mediante:
Incomplete materials — Control: maintain the current system until the package is complete.
Files without structure — Control: provide in-person assistance and return the folder for correction.
Current materials not identified — Control: formal confirmation through Current and Confirmed status.
External links without context — Control: require title, purpose, language, and location.
Duplicate videos — Control: reuse existing AWS S3 links.
Devices with threats — Control: controlled reception and prior scanning.
Dependence on one person — Control: document the process and create transferable records.
Faculty resistance — Control: present the program as recognition, organization, and updating—not as an audit.
Control: confirmación formal mediante estado Current and Confirmed.
Authorization is requested to:
1. Implement the Faculty Academic Materials Management Program.
2. Conduct an institutional seminar with professors.
3. Establish in-person collection periods in Hialeah and Miami.
4. Collect from each professor the materials corresponding to all subjects taught.
